Automation & marketing
Zapier
No-code automation that routes leads the instant they arrive.
Zapier is a no-code automation platform that connects the apps a business already uses and moves data between them automatically. A trigger in one tool, a new form submission, sets off actions in others: add to the CRM, send an alert, fire a confirmation email. HDC uses Zapier to route leads in seconds and remove manual admin, so no enquiry is ever missed or left waiting.
Where it shines
- Connects thousands of apps with no custom code to build or maintain
- Routes a new lead to CRM, inbox and email automatically in seconds
- Removes manual copy-paste admin and the human errors that come with it
- Reliable delivery so enquiries are never dropped or forgotten
- Fast to set up and adjust as a business's tools or process change
- Frees a small team to focus on customers instead of data entry
Trade-offs to weigh
- Subscription cost grows with task volume and the features you need
- A third-party dependency, if a connected app's API changes, a flow can need attention
- Very complex, conditional logic can outgrow it and warrant custom code
What Zapier is
Zapier is a no-code automation platform that connects the apps a business already uses and moves information between them automatically. Its model is simple: a trigger in one app, a new form submission, a new row, a new email, sets off one or more actions in others. That chain is called a “Zap”, and it runs on its own, without anyone lifting a finger, every time the trigger fires.
What makes Zapier powerful is reach and accessibility. It connects to thousands of apps, so the tools a business relies on can be wired together without custom integration code, and the flows are built by connecting steps visually rather than programming them. The result is that repetitive, behind-the-scenes work, copying a lead into a CRM, sending a notification, firing a confirmation email, happens instantly and consistently instead of depending on someone remembering to do it.
How HDC uses Zapier
For our clients, Zapier is mostly about one thing: making sure every lead is captured and acted on immediately. In practice:
- We route new website leads automatically, the moment a form is submitted, Zapier sends the details into the CRM or a leads table, alerts the team’s inbox, and fires a confirmation email to the customer.
- We sync tools that don’t talk to each other, so a contact added in one place flows to the others without manual re-entry.
- We trigger email follow-up by passing leads into a platform like Brevo or Mailchimp, so a nurture sequence can start straight away.
- We remove manual admin generally, the copy-paste tasks that eat a small team’s time and quietly introduce errors.
Why we apply it
For trades and local businesses, the speed of the first response often decides who wins the job. A lead that sits unseen in an inbox is a lead a faster competitor takes. Zapier closes that gap by routing every enquiry to the right places in seconds, so the team can follow up while the customer is still paying attention.
It also removes the quiet drain of manual admin. Re-keying details between tools is slow, easy to forget and prone to mistakes, a mistyped phone number is a lost lead. Automating it means nothing slips through the cracks and the team’s time goes to customers, not data entry. The same automation also confirms receipt to the customer instantly, which sets a professional tone from the first second.
How Zapier fits our stack
Zapier is the connective layer between our sites and the tools that act on a lead. A form on an Astro site posts the enquiry straight into Zapier, which then fans it out: into a CRM or leads table, into the team’s inbox, and onward to an email platform like Brevo or Mailchimp to begin follow-up. Conversion events can be passed to Google Analytics so the marketing is measurable end to end. When a workflow grows too intricate for Zapier’s straightforward style, Make offers a more visual canvas for complex logic, but for the lead-routing that matters most to our clients, Zapier is the fast, dependable default.
When Zapier isn’t the right tool
Zapier shines for connecting apps and automating the flow of leads and data, but it isn’t a fit for everything. Very high task volumes or intricate, deeply conditional logic can outgrow it, both in cost and capability, at which point custom code or a more flexible tool like Make is the better answer. It’s also a third-party dependency: if a connected app changes its interface, a flow may need attention, so it’s not “set and forget” forever. And it doesn’t replace a CRM, an email platform or analytics, it connects them. For straightforward, reliable lead routing, though, it’s exactly the right tool, and it’s the one we reach for first.
Worked example
A lead that reaches the right inbox in seconds
Picture a busy roofing firm whose enquiries used to sit in a website inbox until someone happened to check it, and the fast competitor often won the job first. We wire their site's contact form straight into Zapier. The moment a lead submits, Zapier adds it to their CRM, drops an instant alert into the team's inbox so someone can call back quickly, and triggers a friendly confirmation email to the customer so they know they've been heard. All of it happens in seconds, with no one copying details between tools and nothing slipping through the cracks. Faster follow-up tends to win more jobs from the same enquiries. (Illustrative, every build is scoped to your goals.)

What is Zapier and what does it do?
Zapier is a no-code automation platform that connects the apps a business uses and passes data between them automatically. You set a trigger, say, a new website form submission, and Zapier runs a chain of actions in response, like adding the lead to a CRM and sending an email. It does the repetitive moving of information so people don't have to.
How does Zapier handle my website leads?
When someone submits a form on your site, the details are sent straight to Zapier, which then routes them wherever they need to go, into your CRM or a leads table, into your inbox as an alert, and into an automated confirmation email to the customer. It all happens in seconds, automatically, so a new enquiry is acted on immediately rather than waiting to be noticed.
Do I need coding skills to use Zapier?
No, that's the point of it. Zapier is built so automations can be created by connecting apps visually, without writing code. We set up and maintain the automations for our clients, but the no-code foundation means flows are quick to build, easy to adjust, and transparent rather than a black box.
Why does HDC use Zapier?
Because speed of follow-up wins business, and manual admin loses it. Zapier lets us route a new lead to the CRM, the team's inbox and a confirmation email in seconds, automatically, so no enquiry is missed or left waiting, and nobody wastes time copying details between tools. For trades and local businesses, that faster, more reliable response turns more clicks into booked work.
Is Zapier reliable enough for important leads?
Yes. Zapier is built to deliver tasks dependably and to retry if a connected app is briefly unavailable, so leads aren't silently dropped. We design the flows so a new enquiry reaches more than one place, your CRM and your inbox, which means even if one tool has an issue, the lead still lands somewhere a person will see it.
What's the difference between Zapier and Make?
Both connect apps and automate workflows. Zapier is known for its simplicity, huge app library and speed of setup, which suits most lead-routing and admin automations. Make offers a more visual, flexible canvas that can be better for intricate, multi-step logic. We choose between them based on how complex a client's automation needs to be.
